- Invoice and customer data — invoices, customer contact details, and related records that you upload or sync from your accounting software.

3. How We Use Your Data
We use the data we collect for the following purposes:
- Provide the service — to operate DebtChaser Pro and deliver its core functionality, including invoice management, dashboard views, and reporting.
- Send chase emails on your behalf — to generate and deliver automated invoice reminder emails to your customers as configured by you.
- Calculate credit risk scores — to assess the creditworthiness of your customers using available data, helping you make informed decisions.
- Sync with accounting software — to connect with third-party platforms such as Xero and import your financial data.
- Send service emails — to deliver essential communications such as welcome emails, password reset requests, account notifications, and important service updates.
4. Third-Party Integrations
DebtChaser Pro integrates with the following third-party services to deliver its functionality:
- Xero — we connect to your Xero account via OAuth 2.0 to perform read-only synchronisation of invoices, contacts, and payment data. We do not modify any data in your Xero account.
- Stripe — we use Stripe to generate payment links that you can include in chase emails, making it easy for your customers to pay outstanding invoices.
- Companies House — we access publicly available company data from Companies House to support credit risk assessments and company verification.
- Resend — we use Resend as our email delivery provider to send chase emails and service communications on your behalf.
- Sentry — we use Sentry for error tracking and monitoring to identify and resolve technical issues, ensuring a reliable service.
5. Data Storage & Security
Your data is stored securely on UK-hosted infrastructure provided by Railway. We use a PostgreSQL database with the following security measures in place:
- All data is encrypted at rest and in transit using industry-standard encryption protocols.
- Access to production systems is restricted to authorised personnel only, with strict access controls and authentication requirements.
- We regularly review and update our security practices to protect against unauthorised access, disclosure, alteration, or destruction of your data.
6. Data Retention
We retain your data in accordance with the following practices:
- Active accounts — your data is retained for as long as your account remains active and you continue to use the service.
- Account deletion — upon request, we will delete your account and associated data within 30 days. To request deletion, contact us at james@debtchaserpro.co.uk.
- Backups — backup copies of your data may be retained for up to 90 days after deletion to support disaster recovery, after which they are permanently removed.
7. Your Rights
Under the UK GDPR, you have the following rights regarding your personal data:

- Right to rectification — you can request that we correct any inaccurate or incomplete data.
- Right to erasure — you can request that we delete your personal data, subject to any legal obligations we may have to retain it.

DebtChaser Pro uses one essential cookie to keep you signed in during your session. We do not currently use any analytics cookies, advertising cookies, or third-party tracking. We do not share cookie data with advertisers or external analytics providers.
The first time you visit DebtChaser Pro a small banner asks you to choose whether we may use non-essential cookies in future. You can change your choice at any time by clicking the Cookie preferences link in the footer. We remember your choice on your device only, and will ask again if our cookie practices change.
